Branch Operations Coordinator
Clear Title Company is looking for a Branch Coordinator to join our team in our Lakes / Summerlin Branch. The Branch Coordinator serves as the operational and client service support role for the branch office.
This position is responsible for maintaining day-to-day branch operations, supporting staff and clients, and ensuring the office environment reflects company standards at all times. The Branch Coordinator plays an important role in creating a professional, organized, and welcoming experience for clients, vendors, and team members while supporting administrative and operational functions across the office.
Essential Duties and Responsibilities
Branch Operations & Administrative Support
- Perform daily branch opening and closing procedures.
- Process incoming and outgoing mail, packages, and interoffice deliveries.
- Manage printing, scanning, copying, and general document support.
- Maintain office supply inventory and place supply orders as needed.
- Coordinate service requests and work orders for office equipment, technology, and building maintenance issues.
- Maintain branch calendars, schedules, and meeting coordination as assigned.
- Assist with file organization, records management, and administrative tracking tasks.
- Data entry duties for new records on a daily basis as needed throughout the day
- Support company operational procedures and ensure branch compliance with company standards.
Client Service & Front Desk Support
- Answer and route incoming phone calls professionally and efficiently.
- Greet clients, agents, lenders, vendors, and visitors in a professional and welcoming manner.
- Prepare conference rooms and signing areas for appointments and client meetings.
- Assist with general client service inquiries and direct requests to the appropriate department or team member.
- Help maintain smooth office flow during peak client activity periods.
Office Appearance & Brand Standards
- Ensure the branch office remains clean, organized, and presentation-ready throughout the day.
- Monitor lobby areas, conference rooms, kitchens, supply rooms, and shared workspaces for cleanliness and organization.
- Maintain company brand standards for office presentation and professionalism.
- Report facility concerns, safety issues, or maintenance needs promptly.
Team Support
- Provide operational and administrative support to escrow, title, marketing, and leadership staff as needed.
- Assist with internal projects, training coordination, and branch initiatives.
- Support coverage needs during absences or high-volume periods.
Qualifications
- High school diploma or equivalent required.
- Previous customer service, receptionist, administrative, or office experience preferred but not required.
- Strong communication and interpersonal skills.
- Professional appearance and demeanor.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
- Basic computer proficiency, including Microsoft Office and email systems.
- Ability to maintain confidentiality and professionalism.
- Must submit to a background check.
